Invite and manage the team
In Kasify, team members (cleaners, maintenance staff, contractors, co-managers) are added per property through an invitation code. Each invitation defines the access level the person will have on that property. The same person can hold different roles on different properties.
Before inviting someone, decide what access level they need. See Roles and permissions for what each role can do.
Generate an invitation
- Open the property from Properties.
- In the Team section, click the Invite team member icon. The Invite team member modal opens.
- Fill in the fields:
| Field | Notes |
|---|---|
| Email address | Optional. If provided, Kasify sends the invitation email automatically. |
| Access level | Manager, Staff, or Contractor. Each option includes a short description. |
- Click Generate invitation code.
Kasify shows the invitation code on screen. If you provided an email address, you'll also see a confirmation message indicating which address the invitation was sent to.
Share the invitation
Two ways to deliver it to the recipient:
- By email (if you provided one in the form): Kasify sends an email with the code and a link to accept the invitation.
- Manually: click Copy to clipboard and share the code through any channel (message, chat, etc.). The recipient will then have to sign in to Kasify and enter the code to accept it.
The invitation expires in 7 days and can only be used once. If it expires or is lost, generate a new one from the same modal.
How the recipient accepts
- The invited person clicks the email link or opens Kasify manually.
- They sign in (or create their account if they don't have one yet).
- They enter or confirm the invitation code.
- Once accepted, the property appears in their list with the assigned role.
From that point, their permissions follow the role you picked.
Manage a property's team
The Team section of the property shows current members. For each member you can:
- Change their role or service (cleaning, maintenance, etc.) if you're the property's account owner or have the Manager role.
- Revoke access to the property. That person immediately stops seeing the property; their assigned tasks become unassigned until you reassign them.
Removing a team member from a property does not delete their Kasify account: only their access to that specific property is revoked. Their completed task history is preserved.
Best practices
- Pick the access level based on the type of collaboration:
- For maintenance, occasional contractors, or external services, Contractor is usually the right level: they see no bookings or personal data, only the tasks you assign to them.
- For dedicated cleaners — a person or company that handles your property regularly — the recommended level is Staff. They can see the booking calendar (without personal data) and organize their work autonomously. This is the setup we use on our own properties.
